TENANCY - Greenwood Asset Management Ltd as appointed agent\'s behalf of the landlord should provide tenants with a written statement of the terms of their occupancy, stating the: Address of the property being let, and what it is.
Start and end dates of the tenancy period
Rent terms (frequency and method of payment)
Day to day management issues who write to by post, email and fax
Welcome letter with details phone numbers of the utility and council tax
Greenwood Asset Management Ltd as appointed agents behalf of the landlord will inform the tenant in writing of any additional charges, utility bills or maintenance charges that the tenant will be required to pay during the tenancy
If it’s an HMO building stating where possible the amounts to be paid and the frequency and method of payment
Greenwood Asset Management Ltd as appointed agent\'s behalf of the landlord will provide the tenant, at the beginning of the tenancy, with a telephone number and email address or other means of contacting the Greenwood Asset Management Ltd
RENEWAL (subject to contract) -Greenwood Asset Management Ltd will be writing to the tenant six to eight weeks in advance before the end of the tenancy to invite the tenant if she/he wish to renew (AST) for the coming year. Greenwood Asset Management Ltd as appointed agents behalf of the landlord will renegotiate all rent increase on behalf of the Landlord and issue new contracts for the Tenant to sign for the coming year as per agreement with the landlord.
MAINTAINING (Tenancy) -Greenwood Asset Management Ltd is expected to abide by relevant landlord/tenant law, including racial equality in the management of their lettings businesses. Tenants will treat Greenwood Asset Management Ltd and its staff with appropriate courtesy and respect and staff of Greenwood will treat all tenants with professional conduct at all times.
Greenwood Asset Management Ltd will act in a fair, honest and reasonable way in all their dealings with the tenant and will not, as far as is reasonable, disclose personal tenant information to other parties without their consent. Greenwood Asset Management Ltd will acknowledge promptly (usually within seven working days of receipt) all communications received from the tenant. The Greenwood Asset Management Ltd will abide by the rules of any tenancy deposit scheme of which Greenwood Asset Management Ltd is a member.All disrepair in the property for which the Greenwood Asset Management Ltd is responsible on behalf of the landlord should be email to us or fax and this will be attended to with minimum disturbance to the tenant. Wherever possible repairs will be dealt as soon as practicable.
Greenwood Asset Management Ltd will hold a set of keys to all flats and houses managed
Greenwood Asset Management Ltd will respect the tenant\'s rights to peaceful and quiet enjoyment of the property and will, emergencies excepted, ensure the tenant is given reasonable notice in writing when access to the property is required by Greenwood Asset Management Ltd. Greenwood Asset Management Ltd will, when requested, provide the tenant with a written statement of their tenancy account within five working days at the end of the tenancy. Before any proceedings are commenced, Greenwood Asset Management Ltd of behalf of the Landlord will notified the tenant of any breach of the tenancy agreement that is to be used as a basis for legal proceedings against the tenant. Should any appointment arrange with the tenants with reference to repairs or access under regulatory requirement under the Housing Act 2007 and the tenant NOT present at the said time and date any cost incur will be charged to the tenants.

DETERMINATION (Tenancy) -Greenwood Asset Management Ltd taking and holding a tenancy deposit, or on whose behalf of the landlord takes and holds a tenancy deposit, will do so in accordance with any legal requirements for the protection of deposits which may be in force at the time. At the end of the tenancy the Greenwood Asset
Management Ltd will return any deposit paid by the tenant in accordance with tenancy deposit protection legislation in effect at the time less any charges. Greenwood Asset Management Ltd will not refuse a tenant a reference for the purposes of securing a new tenancy.
COMPLAINT -The Tenant will require a complaint against a member of Greenwood Asset Management Ltd staff or other tenants are to be made in writing, with the name, contact details and, where appropriate, the position of the complainant, included. E-mail is acceptable to info@greenwoodasset.co.uk
Write to: Customer Services (Complaints) Greenwood Asset Management Ltd, 4th Floor, 130 Shaftesbury Avenue, London W1D 5EU. The complaint will be investigated with a view to ensuring it is relevant, appropriate. All calls are recorded and this will include checking the conversations valid at the time of the alleged complaint to consider inappropriate and inform the complainant in writing with 28 days. If a complaint is considered valid, the Greenwood Asset Management Ltd will acknowledge receipt of the complaint and advise the complainant that it will be investigated. The procedure will be as follows: A director or senior member of staff will be appointed to investigate the complaint. This person will first attempt to resolve the issue by mediation. The staff member or the tenant will be offered the opportunity to make written representations within one month as to all tenant complaints and oral representations will not be accepted. Taking into account any written representations, the Greenwood Asset Management Ltd will reaffirm to the complainant
